StrataMax Portal | Financial Dashboard

The Financial Dashboard gives owners an overview of their building's financial position on the StrataMax Portal. It presents information from the Financial Statements as charts and summaries, and lets owners drill into expenses down to individual creditor invoices.

This article is for Strata Managers. We also have the Owner's Portal Help, which is designed for owners and committee members.

Note: This is the first release of the Financial Dashboard. Permissions to control which sections owners and committee members can view will be added in a later release.

Access the Financial Dashboard

Owners and Strata Managers both open the dashboard by clicking Financial Dashboard in the Portal menu bar. There is no difference between what owners and managers do.

The Portal login page also shows a short message above the Sign In box, letting owners know the Financial Dashboard is available from the menu.

Financial Performance

The Balance Sheet Cash Position Trend chart shows the monthly cash at bank balance (account code 012) for the financial year. Use the Mode, Period and View buttons to compare with the previous financial year or include investment accounts. Hover over the chart to see the values for a month.

Note: Balances are calculated from the building's full financial position, including money still to come in or go out, so they may not match bank statements.

The cards below the chart show the current cash position and total investment balance, with the percentage movement since the same date last year. Investment accounts are only included if they have been set up in Bank Account Setup in StrataMax.

Fund Performance

A card for each trading fund summarises its performance for the current financial year. Buildings with additional trading funds show a card for each. Click Total Expenses on a card to jump to the Expense Analysis section.

Expense Analysis

When expense categories are defined in StrataMax, the Category Distribution donut chart is displayed and shows expenses by category. When a category is selected in the Category Distribution chart, the Expense Breakdown chart breaks down the category by expense code. Expense accounts that are not linked to a category are included in the Category Distribution chart as Other. If there are more than 15 categories, the chart shows the 15 largest and groups the rest under Other.

If no expense categories are defined in StrataMax, only the Expense Breakdown donut chart is displayed, showing the 15 largest expenses, with the remainder grouped as Other. Expense accounts that are in credit are excluded from the charts and listed underneath.

Expense Distribution

  1. Click a category in the Category Distribution chart, or its name in the legend, to show the expense codes that make up that category.

  2. Click Show Detailed View to list the expense accounts in the selected category. Clear the Applied Category Filter to show all expense accounts. The list can be exported to CSV.

  3. Click an expense account to view the current year's creditor invoices included in its total. Only creditor invoices are listed. The list can be filtered, sorted and exported to CSV, and Remember keeps the filter for the next time the list is opened.

Expense Comparisons

The Compare vs Budget, Compare vs Last Year and Full Comparison tabs compare each category's current year expenses against the budget, the previous financial year, or both. Current year figures are year to date, while the budget and previous year figures cover the full financial year.

Set up Expense Categories

Expense categories are configured in Financial Statements > Options > Edit Account Summary List > Expense Summary. Categories can be set globally for all buildings, with building overrides where account codes differ from the master chart. For setup and import instructions, see Set up the Expense Summary in the Manager's Portal article.

Note: Importing categories from Excel replaces the existing ranges for each building and category combination.

Bank Accounts and Fund Allocations

These sections show the current balance of the main operating account, each investment account and each fund. Account numbers are masked.
